In a traditional restaurant workflow, order information travels on paper — a waiter writes the order on a notepad, tears it off and clips it to a rail in the kitchen. This system has been the industry standard for decades, but it comes with well-known problems. Handwriting is sometimes illegible. Chits get lost or reordered. There's no record of when an order was placed, so you can't tell if a table has been waiting 8 minutes or 28 minutes without looking at a clock. When the floor is busy and three tables are ordering simultaneously, chits pile up and the chef has to mentally track what's in progress, what's done, and what just arrived.

The Kitchen Display System solves all of these problems digitally. When a waiter places an order on their phone, it appears on the KDS screen in the kitchen within seconds — there is no handwriting, no physical transfer, no chance of the chit being dropped on the floor. 📋 The Three Columns — Understanding the Kanban Flow

The KDS screen is organised as a three-column Kanban board. Every order starts in the leftmost column and moves right as the kitchen processes it. The rightmost column is where completed orders wait for floor staff to collect them.

Column 1 — New Orders (Amber)

Every newly placed order appears here with an amber colour and a 0:00 timer that starts counting immediately. This column is the kitchen's incoming queue — the chef scans it continuously during service to know what just arrived. A sound alert (configurable) plays when a new card appears here, so the chef doesn't need to watch the screen constantly. The amber colour creates visual urgency: these orders have not been started yet and are waiting to begin.

Column 2 — Preparing (Blue/Indigo)

When the chef or kitchen staff begins cooking an order, they click the forward arrow on the card to move it to the Preparing column. The card turns blue, indicating active work in progress. The timer continues running so everyone can see how long the item has been in active preparation. This column also serves as a signal to floor staff: if a table asks "how long will our food be?", the waiter can glance at the KDS (or check the status in the Mobile App's Orders screen) and give an accurate answer.

Column 3 — Ready to Serve (Green)

When the dish is plated and sitting on the pass-through counter ready to be collected, the chef clicks the forward arrow again to move it to the Ready column. The card turns green. This is the signal for floor staff — the food is ready and needs to go to the table. Some restaurants configure the app to trigger a notification on the waitstaff's phone when an order moves to Ready, so they know immediately without watching the KDS screen. Once the waiter collects the food and marks the order as Served in the Mobile App, the card disappears from the KDS board entirely.

Every order card on the KDS displays a timer showing how long the order has been in its current state. This is arguably the most operationally important feature of the KDS, because it gives the kitchen team real-time visibility into which orders are at risk of becoming quality or service issues.

The timer colour changes as time passes:

  • White / Grey (0–14 minutes): The order is within normal processing time. No action required beyond the standard kitchen workflow.
  • Orange (15+ minutes): The order has been waiting or in preparation for more than 15 minutes. This is a soft warning — the order is not yet a crisis, but it should be prioritised above newer ones. In a busy service, this is the chef's signal to check why the order hasn't progressed.
  • Red (25+ minutes): The order has exceeded 25 minutes. This is a critical alert. An order sitting in New for 25+ minutes means it hasn't been started — a serious service failure. An order in Preparing for 25+ minutes suggests something went wrong (ingredient missing, equipment issue, overloaded line). The manager should be aware of red cards and communicate with the table immediately to manage expectations.

These thresholds (15 minutes for orange, 25 minutes for critical red) are set based on typical restaurant service standards. They create a culture of accountability in the kitchen without requiring a manager to stand there watching the clock. The visual colour alone communicates urgency to every person who glances at the KDS screen.

Each order card on the KDS board contains everything the kitchen needs to prepare the order correctly:

  • Table Number or Order Type: Top of the card — e.g. "Table 5" for dine-in or "Takeaway" / "Delivery" for other order types. This tells the chef where the food is going without any ambiguity.
  • Order Number: A sequential reference number — useful when communicating with the floor, e.g. "Order #47 for Table 5 is ready."
  • Item List: Every item in the order with its quantity. For example: "2× Butter Chicken, 1× Dal Makhani, 3× Garlic Naan."
  • Modifier Selections: Any modifier choices made at order time appear as sub-text under each item. For example, "Butter Chicken — Medium Spice — No Onions" or "Cappuccino — Oat Milk — Extra Shot." This eliminates any need for verbal clarification between waiter and kitchen.
  • Variants Selected: If the item was ordered as a specific variant, the variant appears — e.g. "Biryani — Full Plate."
  • Special Notes: Any kitchen note added by the waiter at order time — e.g. "Allergy: no nuts", "Birthday — arrange presentation."
  • Elapsed Timer: Running clock showing how long this card has been in its current column.

Standard KDS view shows each table's order as a separate card. This is ideal for tracking individual table progress. But in a high-volume kitchen where the priority is batch efficiency — especially for a line cook managing a single station like the grill or the fryer — a different view is more useful.

The Consolidated View (toggle it with the Grid icon → in the toolbar) aggregates all pending items across every active order into a single unified list, grouped by item. Instead of seeing "Table 3: 2× Biryani", "Table 5: 1× Biryani", "Table 7: 2× Biryani" as separate cards, you see "5× Chicken Biryani" as a single aggregated demand count. The chef at the biryani station can immediately see the total demand across all current orders and batch-cook a single pot of five portions rather than three separate smaller batches.

Consolidated view is most useful during peak lunch or dinner rushes when 8–12 tables are all ordering simultaneously and the kitchen is managing high concurrent demand. It reduces cognitive load for station chefs and minimises cooking repetition. For the service team and manager, the standard card-per-order view is still better — they need to track individual table status, not batch totals.

🔔 Sound Alerts and Fullscreen Mode

The KDS is designed to be used on a dedicated display in the kitchen — a monitor mounted on a wall or suspended above the prep area. In this setup, the chef team may not be watching the screen continuously; they are cooking, plating, and moving around the kitchen. Sound alerts ensure no new order goes unnoticed.

When a new order arrives in the New Orders column, a configurable chime plays through the device's speakers. The sound is enabled by default. You can toggle it off with the 🔊 icon in the KDS toolbar — some restaurant owners prefer a silent kitchen with only visual indicators. When the kitchen is very loud (open flame cooking, loud extraction fans), a louder external speaker connected to the display device can ensure the alert is heard clearly.

Fullscreen mode (click the → expand icon) hides the sidebar, topbar, and all browser UI, leaving only the three-column Kanban board filling the entire monitor. This is the intended operating mode for a dedicated KDS display. Staff cannot accidentally navigate away from the KDS screen in fullscreen mode. Press Escape or click the → icon again to exit fullscreen.

Mount a monitor in the kitchen with a clear sightline to all stations

A 24–32 inch monitor at eye height, visible from the main prep area, grill station, and plating area is ideal. Connect it to a mini PC, a Raspberry Pi, or even a smart TV with browser capability.

Open Chrome or any browser, navigate to the Admin Panel, log in

Use a dedicated Admin account (not a personal login) for the kitchen display. Log in once and keep the session open. The admin panel remembers the session until explicitly logged out.

Navigate to Kitchen Display in the sidebar

Click Kitchen Display. The Kanban board loads.

Click → Fullscreen — enable sound — begin service

The kitchen is now ready for digital orders. From this point, every order placed by waitstaff appears on this screen without any further action needed from the kitchen side.

Read the card: table number, items, quantities, modifiers. Confirm you have everything needed to make it. If the order contains an item you can no longer make (e.g. you just ran out of an ingredient), communicate immediately to the manager to cancel that item or modify the order via the Admin Panel Orders screen.

Start cooking — click → to move to Preparing

The card turns blue. The timer continues. Floor staff and managers can see in the Mobile App that this order is now in progress. Move every order to Preparing as soon as you begin it — this is discipline that pays off. An order sitting in New while you're already cooking it misleads the whole team about the real status.

Dish is plated and on the pass — click → to move to Ready

The card turns green. The floor staff (if notifications are enabled) get an alert on their phones. The manager's Admin Panel shows this order as ready. The waiter collects the food and takes it to the table.

Waiter marks order Served — card disappears

Once the waiter confirms delivery in the Mobile App, the card is automatically removed from the Ready column on the KDS. The board stays clean and only shows active, unresolved orders.

The cardinal rule of KDS discipline: Always advance cards to their true state immediately. If you start cooking but don't move the card to Preparing, the manager and waitstaff see the order as still waiting. This creates false urgency, confuses the floor team, and erodes trust in the system. Train your kitchen team that moving the card is as important as the cooking itself — it's how everyone knows what's happening.

Assign a "KDS operator" role. In larger kitchens, designate one person (often the expeditor or pass chef) to manage the KDS screen — advancing cards as dishes are called out. This frees line chefs from looking at the screen and lets them focus on cooking. The expeditor calls the orders and manages the digital board simultaneously.

Reliable internet is non-negotiable. The KDS uses a persistent WebSocket connection to receive real-time order updates. If the internet drops, new orders will not appear on the KDS screen until the connection is restored. Always have a backup process — for example, a printed receipt from the order form — to handle internet outages gracefully. Mount the KDS display close to your Wi-Fi router or use a wired Ethernet connection for maximum reliability.
