๐Ÿ’ฐ Why Track Expenses in Unavakam

Revenue tells you how much money came in; expenses tell you how much is going out. Most restaurant owners have a good sense of their revenue โ€” they can see it on the reports or count the cash in the register. But expenses are often tracked loosely: some are in the owner's personal bank statement, some are in cash receipts in a drawer, some are on a staff member's notebook. At month end, computing the actual profit requires hunting down all of these records and reconciling them โ€” an error-prone process that often takes a full day.

The Expenses module gives you a single, structured place to record every cost as it happens. The person who does the daily vegetable market run logs the ingredient purchases on the Mobile App in two minutes. The manager logs the electricity bill when it arrives. The owner logs the pest control payment when the receipt comes in. All of these flow into the same shared ledger, accessible from the Admin Panel, with original receipt photos attached. At month end, the summary is already there โ€” total by category, CSV export for the CA, and a comparison against the previous month.

๐Ÿ“‘ The Four Tabs

The Expenses screen is split into four tabs. Each gives you a different lens on the same underlying data.

Tab 1 โ€” Expenses (List)

The default tab. Shows every expense entry as a scrollable list, sorted by date (newest first). Each row shows the date, category icon, description, and amount. You can:

  • Filter by date range โ€” use presets (Today, This Week, This Month) or pick a custom range to focus on a specific period
  • Filter by category โ€” tap a category chip to show only Ingredients, Utilities, Salaries, Maintenance, or Miscellaneous
  • Tap any entry to expand it and see the full description and the attached receipt photo
  • Add a new expense โ€” the "+" button opens the Add Expense form (covered in detail below)
  • Export to CSV โ€” downloads all currently filtered entries as a spreadsheet for your accountant

Tab 2 โ€” Summary

A visual breakdown of your expenses for the selected date range. The Summary tab answers the question: "Where did the money go?" It shows:

  • Total spend card โ€” the grand total for the selected period at a glance
  • Category breakdown โ€” each category (Ingredients, Utilities, Salaries, Maintenance, Misc) shown as a bar or pie segment with its total amount and percentage share of total spend
  • Month-over-month comparison โ€” how each category's spend compares to the previous period. A red arrow on Ingredients means ingredient costs rose compared to last month; green means they fell
  • Top 5 largest expenses โ€” the individual entries that drove the most cost in the period, useful for spotting one-off large payments that skew the totals

Use the Summary tab when reviewing expenses with the manager or owner at the end of the week or month. It gives a fast, visual picture without needing to scroll through every entry.

Tab 3 โ€” P&L (Profit & Loss)

The P&L tab combines your revenue (from the Orders/Reports module) and your expenses (from this module) to show your gross profit and net margin for any period. This is the most important business intelligence tab โ€” it tells you whether the restaurant is actually making money.

  • Revenue โ€” total sales for the period (pulled from order data)
  • Total Expenses โ€” sum of all logged expenses for the period
  • Gross Profit โ€” Revenue minus Total Expenses
  • Net Margin % โ€” Gross Profit as a percentage of Revenue. A healthy restaurant typically targets 10โ€“20% net margin
  • Expense breakdown chart โ€” expenses shown as a percentage of revenue (e.g., "Ingredients: 32% of revenue, Salaries: 28% of revenue"). Industry benchmarks are shown alongside your actual figures so you can see if any category is running unusually high
  • Period comparison โ€” this month vs last month (or this year vs last year) side by side

P&L accuracy depends on complete expense logging. If staff are paying for ingredients in cash without logging them, your P&L will look artificially profitable. The more diligently you log every expense, the more useful this tab becomes.

Tab 4 โ€” Budget

The Budget tab lets you set a monthly spending target for each expense category and track how you're tracking against those targets in real time.

  • Set a budget per category โ€” tap the edit icon next to each category (Ingredients, Utilities, Salaries, Maintenance, Misc) and enter your target monthly spend. E.g., "Ingredients: โ‚น80,000 / month"
  • Progress bars โ€” each category shows a progress bar: how much you've spent so far this month vs the budget. Green = under budget, amber = within 80โ€“100% of budget, red = over budget
  • Remaining budget โ€” shows how much is left to spend in each category before the month ends
  • Projected end-of-month spend โ€” based on your pace so far this month, estimates where you'll land by month end. If you're 10 days in and have spent 55% of your Ingredients budget, the projection will show you're on track to overspend by 65%
  • Budget vs Actual table โ€” a clean table comparing every category's budget, actual spend, and variance for the current month

Setting up budgets takes 5 minutes and gives you an early-warning system. Instead of discovering at month end that you overspent on salaries by โ‚น20,000, the Budget tab tells you on day 20 that you're already at 90% of the salary budget with 10 days to go.

Amount (โ‚น)

The exact amount paid, in Indian Rupees. Enter the total amount including any GST paid on the expense if you want the full expense figure. If you need to track the GST paid separately for input tax credit purposes, note the base amount and GST amount in the Description field and enter the total in Amount. If you have a GST receipt and want to claim ITC, consult your CA about the correct way to record this.

Category

The type of expense. Categories determine how expenses are grouped in the summary view and how you filter and export for accounting. The standard categories are:

  • Ingredients: Raw materials purchased for cooking โ€” vegetables, meat, dairy, spices, oils, packaging. This is typically the highest-value expense category. If you're also using the Stock Management module, ingredient purchases logged here through Purchase Orders are already captured โ€” but any cash purchases from the local market should be logged manually in Expenses.
  • Utilities: Electricity bills, gas (LPG cylinder or piped), water charges, internet and broadband. These are typically monthly recurring expenses with predictable amounts. Log them as soon as the bill arrives so your monthly summary is complete.
  • Salaries: Staff wages โ€” weekly or monthly cash payments, bank transfers for payroll, contractor payments for part-time staff. Each salary payment can be a separate expense entry, or you can enter the total payroll as a single monthly entry. Adding individual entries per staff member gives better records.
  • Maintenance: Equipment repair and servicing (refrigerator, exhaust, fryer), plumbing repairs, electrical work, pest control, deep cleaning services, furniture repair. These tend to be irregular in amount and timing, which makes them easy to forget and difficult to account for in manual tracking.
  • Miscellaneous: Anything that doesn't fit the above categories โ€” printing menus, marketing and advertising costs, license renewals, cleaning supplies, disposables (straws, napkins, containers), software subscriptions, etc.

Date

The date the expense was incurred (not necessarily the date you're entering it). If you're logging yesterday's market run today, enter yesterday's date. Accurate dates are important for monthly summaries and for matching expenses against the correct accounting period. The date picker shows a calendar โ€” you can navigate to any past date.

Description

A free-text note describing what the expense was for. Good descriptions save you from confusion later. Instead of just selecting "Ingredients" and entering โ‚น3,200, write "Vegetables and dairy from Crawford Market โ€” onions 10kg, tomatoes 8kg, paneer 3kg, curd 5kg". When you export this for your CA three months later, the description makes the expense self-explanatory without needing to find the original receipt. For utility expenses, include the billing period: "Electricity bill โ€” March 2025".

Receipt Photo

Upload a photo of the physical receipt, invoice, or bill. This is one of the most valuable features of the Expenses module. Physical receipts get lost, fade, or are thrown away. A digital photo stored in S3 is permanent and retrievable at any time. When the GST department asks for proof of expenditure three years later, you can pull up the original receipt photo instantly. To upload, click the camera/upload area and select a JPG or PNG from your device โ€” or, on mobile, use the camera to photograph the receipt directly. The photo is stored securely in AWS S3 and linked to the expense entry permanently.

Logging a daily market purchase

The staff member doing the market run opens the Mobile App โ†’ Expenses โ†’ Add Expense

This can be done on the go, right at the market after paying, while the receipt is still in hand. The Mobile App and Admin Panel share the same data โ€” entries made on mobile appear immediately in the Admin Panel web view.

Enter the amount, set Category to "Ingredients", enter today's date

Fill in the exact amount on the receipt. Select Ingredients. The date auto-fills to today.

Write a detailed description

List the main items purchased and their quantities. This takes 30 seconds but is invaluable later โ€” e.g. "Morning market: Chicken 5kg โ‚น900, Mutton 2kg โ‚น700, Fish 3kg โ‚น600, Vegetables โ‚น1,000 = Total โ‚น3,200".

Photograph the receipt and upload it

Tap the camera icon in the receipt field and take a photo of the receipt. Even if it's a handwritten receipt from a vegetable vendor, capture it. Tap Save. The expense is logged and the receipt is stored.

Reviewing your monthly expense summary

Open Admin Panel โ†’ Expenses โ†’ set the date range to the current month

Use the "This Month" preset or pick the custom date range. The expense list filters to show only entries from this period.

Review the category summary cards

Above or alongside the list, category totals are shown โ€” Ingredients: โ‚น82,000 | Utilities: โ‚น18,000 | Salaries: โ‚น1,40,000 | Maintenance: โ‚น6,500 | Misc: โ‚น9,000. Total: โ‚น2,55,500. Compare this against your revenue for the month (available in Reports) to calculate your gross profit margin.

Drill into any category to review individual entries

Click or tap a category filter chip to show only entries in that category. If the Maintenance total seems high, filter to Maintenance and scroll through the entries to see what drove the cost. A โ‚น6,500 refrigerator repair that wasn't expected explains it immediately.

Export to CSV and share with your CA

Click "Export CSV". The download contains every expense entry for the filtered period with all fields โ€” date, category, amount, description. Email this to your accountant or upload it to your accounting software for the month-end books.

Log expenses the same day they happen. The biggest failure mode in expense tracking is batching โ€” trying to enter a week of expenses from memory at the weekend. You will forget things. Log each expense the moment it's paid or the receipt is in your hand. On mobile, this takes under a minute.

Always photograph the receipt. Even a rough handwritten receipt from a local vendor is worth photographing. The photo is stored permanently and is the only proof you have of the expense if it's ever questioned. Digital copies on S3 don't fade or get lost the way paper does.

Mobile vs Admin Panel: The Mobile App is ideal for logging expenses on the go (market runs, cash payments). The Admin Panel is ideal for reviewing, filtering, and exporting. Both show the same data โ€” anything logged on mobile appears immediately in the Admin Panel and vice versa.
